There is much confusion about shipping firearms. Even the shipping companies are often confused about the law and their own company procedures. These instructions are meant to simplify the shipping of your firearm to hillbilly223 and are not intended to be taken as a legal guide. Check all applicable federal, state, and local laws before shipping any firearm.

This keeps our merchant services folks happy and protects us from those that would use our finishing services to have free wok done to their firearms.

Thoroughly clean firearm.

Any firearm that arrives with old oil, grease, dirt, or carbon deposits or excess oil will incur a cleaning charge. Firearms do not need to be dry, but oil should be wiped off to a minimal film.

Disassembled Firearms

If you wish to send your firearm pre-disassembled, we will coat it and return it unassembled. If you send a firearm with uninstalled parts, they will be coated and returned uninstalled. We have learned the hard way that there are people who, for example, purchase a 1911 frame and all the parts to build a custom 1911 and then send it for finishing. Prior to sending it out, they call the finisher and say they are going to “disassemble it” prior to shipping and secure a promise from the finisher to return it assembled. The finisher then receives a box of new, unfitted parts and an obligation to perform hundreds of dollars worth of gunsmithing for free. If you have a part or accessory that you need installed, let us know and we will give you a price for the work.

Packaging

Make sure your firearm is unloaded before packaging. Do not send ammunition with your firearm. We have received firearms with ammunition in the magazine. Please do not do this.

Pack the firearm in the smallest package possible as this can save shipping costs. Pack the firearm so that it will not move in the package and is protected against crushing. We recommend that bolts be removed from bolt-action rifles and wrapped separately (in the same package). We have seen several nice rifles arrive with damaged bolt handles or barrels protruding from the box. We prefer that you do not use styrofoam peanuts as packaging. Dropping a firearm into a box and pouring peanuts around it will not protect it adequately and will result in extra work for us cleaning bits of foam out of the action. If you wish to package a rifle in a hard case, it will give better protection, but will also raise the shipping cost.

Make sure that you include the following in the package with the firearm:

  1. All parts and accessories to be coated.
  2. Detailed instructions on how the firearm is to be coated; patterns, colours, parts to be left uncoated.
  3. Detailed instructions about any laser engraving.
  4. Completed and signed custom work waiver.
  5. Payment for at least half of the cost of the finish if paying by check or money order.
  6. Complete contact information; name, address, phone numbers, and email address.

Shipping

By federal law, you may ship a firearm directly to hillbilly223 and we may ship it directly back to you. You do not need to send it through a dealer on your end. There are some exceptions, however. If you ask us to send a firearm to a different address than you shipped it from, or to a different person, we will do so by shipping to a licensed dealer in that location, who will then transfer to whoever picks it up. If you ship a firearm to us that is not legal in your area for any reason, we will not return it to that location. If you ship a firearm that is illegal to possess for any reason (serial number removed, unlicensed machine gun or other NFA weapon, etc.), we will not return the firearm and will take whatever action is required by law, including surrendering it to the proper authorities.
Label the package with our address and your correct address as the return address. Please do not put the address of the UPS store, your cousin’s address, or 123 A street, anytown USA. You do want to get your firearm back, after all.
By federal law you may not mark the outside of the box in any way that indicates that there is a firearm inside.
We recommend that long guns be shipped USPS priority for the pest price and service to Alaska. Pistols must be shipped by common carrier (UPS or FedEx) unless the shipper is a licensed dealer. We recommend FedEx as their prices are lower than UPS for shipments to Alaska. By law you must require adult signature confirmation.
When you take your firearm to be shipped, you may encounter difficulty in convincing the shipper that you are legal to ship the firearm. We have had postal service, UPS, and FedEx employees tell our customers all sorts of strange, nonexistent regulations. The most common are that the firing pin must be removed, the firearm must be disassembled and shipped in separate boxes, that the box needs to be marked “Danger Firearm Inside,” etc. In discussing an account to ship ammunition, the shipping expert from UPS that was meeting with us recently told us that every firearm we ship must have the firing pin removed, be disassembled and be shipped HAZMAT. We recommend that you go to the shipper’s website, print their own regulations for shipping firearms, and take them with you when you go to ship.
If you run into trouble with the shipper, you may call us and we can help you through the issues. In a few instances, when our customers faced UPS or postal employees that absolutely refused to accept a firearm for shipment, we have emailed a FedEx shipping label on our account and arranged for a pickup from the customer’s location.

License

Hillbilly223 will be a federally licensed firearms dealer, and can therefore accept firearms for custom work or for sale or transfer. If you wish to ship a firearm through a dealer on your end, we will need to send a copy of our Federal Firearms License to that dealer. We can do this by mail, email, or fax. We will need to know how your dealer prefers to receive it. We can receive a firearm from an unlicensed individual for the same purposes. Unlicensed individuals do not need a copy of our license and we do not send it out to anyone who is not a dealer. We do recommend that you confirm that anyone you are sending a firearm to is licensed to receive firearms. This is important because there is a recent proliferation of people who call themselves private dealers, or some variation of that title, who are buying and selling firearms and skirt around the law

Return Shipping

If we received the firearm from the owner, we will ship directly back to the owner. If we recieved it from a dealer, we will need a copy of the dealer’s license (or another dealer if you choose) and will ship to the dealer. We will ship either FedEx or USPS priority, depending on which is the best value for the package size. Most firearms will ship FedEx. The firearm will be insured for replacement value plus the value of the finish and will be shipped with delivery confirmation and adult signature required. If for some reason the value of your firearm is higher than others of the type, please let us know for shipping insurance purposes. The owner will be charged actual shipping cost.

Turnaround times

Turnaround times vary depending on the current workload. Our normal turnaround times are 7 to 10 day, but can be as short as a few days or as long as a couple months at times. We try to give an accurate timeframe when you ship your firearm, but that can change quickly. A significant part of every day is spent, not finishing firearms, but speaking on the phone to clients who are asking about the status of their firearms. We sometimes have people calling and asking if we have finished the firearm they sent before it has even been delivered to us. We know that you are anxious to see your newly finished firearm, but we ask that you refrain from calling for status reports. This not only slows the work on your firearm, but on other people’s firearms as well. There is a significant amount of time spent on each firearm, from disassembly to cleaning, blasting, hand-prepping optics, then masking, templating, coating, and finally reassembly. This can easily take a week and a half depending on the firearm and the finish. We do not rush or take shortcuts. We will finish your firearm as quickly as possible.

Shipping of Firearms

Adult signature will be required for delivery. All packages are insured and delivery is confirmed.
If you are planning to ship a firearm to us, please contact us for options and instructions.
Hillbilly223 will not ship any firearm or other item to any location where ownership, sale or transfer of that firearm is restricted by law.
hillbilly223 is not responsible for loss or damage that may occur during shipping.

Warranty Info

Although Cerakote finishes are more durable than any traditional finish, Hillbilly223will make no guarantee concerning the use of this product in any specific application or environment. Hillbilly223 is not responsible for wear or damage to your finish due to normal use or abuse.
Hillbilly223 will always attempt to clearly communicate to each client the results that may be expected; however all artwork is subjective in nature. Hillbilly223 is not responsible for misconceptions or misunderstandings concerning our patterns or custom artwork. While we will attempt to work through any such misunderstandings, the client is responsible to pay for any work that is already completed.
I understand that hillbilly223 makes no warranty concerning the results of the custom work, including, but not limited to, the look of camouflage patterns or artwork, durability of finishes, suitability of finish for any particular application, or safety, function, or reliability issues that result from the customization of my firearm.
I understand that certain work may be required to prepare my firearm for custom work. This work may include disassembly, stripping finish or oil with chemicals, sandblasting parts, sanding, and masking. Sights and/or optics may have to be removed or adjusted and may lose zero as a result. I understand that due to age, use, damage, corrosion, or factory defect, some parts may fail during the disassembly/assembly process. I will not hold hillbilly223 responsible for any damage that may occur during customization of my firearm.

I understand that if, in the course of performing work on my firearm, hillbilly223 finds that my firearm is currently in a dangerous condition for any reason, hillbilly223 will not return the firearm until action has been taken to resolve or repair the unsafe condition. I agree to cover costs incurred during this process
(Hillbilly223 will not perform any work without first obtaining my approval).

Firearm laws and regulations can be obscure and confusing at local, state, and federal levels. As a result, due to accident, negligence, or deliberate lawlessness, some firearms may exist that are not in compliance with firearm regulations. Therefore, if upon receipt of my firearm, hillbilly223 finds that my firearm does not comply with applicable regulations, I agree to allow hillbilly223 to take the necessary steps to resolve the situation and I agree to pay for any costs incurred. I understand that this may require any of the following steps:

– removal or replacement of parts
– removal of certain accessories
– alteration of the firearm
– surrender of the firearm or certain parts/accessories to the appropriate authorities.

I understand that under no circumstances will hillbilly223 knowingly return an illegal firearm to me.
I take full responsibility to ensure that my firearm complies with my local and state laws. I understand that hillbilly223 cannot return a firearm to a location in which ownership, transfer, or sale of that firearm is restricted. I agree to take full responsibility if hillbilly223, despite all effort to ascertain legality, unknowingly returns a firearm that is restricted in my area by local or state ordinances.

I understand that although a background check is not required by law for the return of my own firearm, hillbilly223 may choose to perform a check if they feel that it is justified.

I agree to pay all charges and costs for the work performed by hillbilly223.

I am not restricted in any way from owning this firearm.

I have read and agree to the above Terms and Conditions.
